Finding a conversation
Conversations are organized into three categories:
To-Do: Unread or flagged messages that need your attention.
Responded Today: Conversations you've already handled today.
All: Every conversation, from the very beginning.
You can also search the entire Inbox by student name or guardian name to jump straight to a specific conversation.
Reading a conversation
Open any conversation to see the full message thread:
Blue messages are sent by the school.
Grey messages are the guardian's responses.
Flagged messages will remain under To-Do until reviewed.
Multilingual support: Attendance Pro automatically reaches out to each guardian in their primary language. Click Translate in the top-right corner of the chat to translate the thread for you.
Responding and escalating
From within a conversation, you can:
Reply directly using the chat bar at the bottom of the screen.
Forward the conversation to a specialist—such as a guidance counselor—when it needs attention beyond what you can address. Add a note (for example, "please take a look") and the specialist receives an email with a PDF transcript of the conversation so they can take further action.
Mark as reviewed to clear the flag. This removes the conversation from your To-Do list.
Student information panel
The right-hand panel of a conversation shows details about the student, including:
Student ID and attendance risk level
Attendance history and attendance records
Attendance records are editable. You can update the attendance code, change the excusable status, or edit the note, then click Save to apply your changes.
Chat actions
The Actions button in the top-right corner of a conversation gives you a few additional tools:
Download the chat as a PDF transcript for audit purposes.
Change the primary language used to communicate with that guardian (English, Spanish, and other supported languages).
Edit guardian information, such as updating a phone number or selecting a different guardian to contact when more than one is on file.
Reviewing absences in bulk
Click the Absences button at the top of the Inbox, choose a date range (today, last week, or any custom range), and click Search. Attendance Pro pulls up the absence code and reason assigned to each conversation in that range. From there, you can export the list as a CSV or copy it to your clipboard.
