Custom Groups in Task Management

What are Custom Groups?

Districts can now create a Group for any team, department, or organization. For example, possibly a facilities team, a transportation department, or a communications office. This creates a grouping that better reflects how they actually work and share information.


How to set up Custom Groups

The Task Manager within your organization navigates to Task Management Settings, where they'll find the Groups tab. From there, they can create and archive Groups.

As soon as a Group is created, it appears in two places:

  • The User Access tab: so users can be added to the Group

  • The Contact Form: so Requesters can select the Group when submitting a task


Creating a Group

To create a group, click on the + Create Group button, a pop up will appear that gives two options:

  • Create an Existing Organization - Adds an existing (previously hidden/removed group that was automatically created from your existing organizations.

  • Create a Task Management Group (Custom Group) - Creates a custom group that is independent of a building or organization.

Note: Your existing groups, automatically created from your buildings can be deleted if needed (if you don't want a specific location showing to the public). The name of a new group cannot be the same as another already created.

Toggle into Archive if you need to find any deleted groups


What changed with Topics?

Because Topics are scoped to Groups and Groups can now exist independently of your organization levels/separate sites, Topic creation and management has moved from CMS Settings into Task Management Settings.

Note: Publishing and Unpublishing a Contact Form is still found within CMS Settings.
