Deactivated Guardianships

What is it?

The Data Management section within Connect deactivates guardianships when the contact information linking that guardian to a student is no longer present in recent Guardian synced data.


Which Guardians are affected?

Any guardianship that has been sent in your district's SIS data is eligible for deactivation. While some guardians may have been created manually, if they have been included in the syncing file after creation, they will also be eligible for deactivation.

Note: Only guardianships that were created manually and have never appeared in SIS data are excluded from deactivation


How does it work?

  • Each time data is synced, Connect evaluates all eligible guardianships against the incoming data

  • Student IDs in the incoming guardian data are the key used to match guardian contact information

  • A guardianship is flagged for deactivation when none of the contact methods (phone, email, or both) that link the guardian to a student are found associated to that student ID in the latest synced data

  • If at least one contact method is still found linked to that student ID, the guardianship remains active

  • Guardianships are deactivated, not deleted the record is retained in archive


Deactivation Reports

  • When guardianships are deactivated, a report of affected records is available to district admins with Connect Data Management permissions for 14 days

  • Admins can review the report and reactivate any guardianships that were incorrectly deactivated during that window

  • Reports older than 14 days are no longer available in the platform; Apptegy Support can provide historical reports if needed



Reactivating Guardianships

  • Guardianships can be reactivated in one of two ways:

    • The Guardian is added back to the SIS data that is syncing with Connect

    • By searching for the Student account in the Campus Management people search, selecting the Student, and filtering for archived Guardians in the filter provided on the page.

Note: Manual Guardian re-enablements are intended to be used for examples like homeschooling, or external activities/sports where Guardians will cannot be included in the data sync
